How to set up a replenishment flow in Klaviyo
A replenishment flow reminds customers to reorder a product around the time they are likely to run out. In Klaviyo you trigger on placed order, split by the product bought, wait roughly as long as the product lasts, then send a reminder with a direct reorder link.
Have this ready.
- A list of products that are used up and bought again
- A rough idea of how long each product lasts
- Order events syncing from your store into Klaviyo
- Product pages that make reordering quick
Steps.
1. Pick the right products
Choose items people genuinely reuse, such as skincare, coffee or supplements. A reminder for a one-off item feels odd and trains people to ignore you.
2. Estimate the reorder window
Look at the gap between first and second orders in your own data, or use the pack size and normal usage. Aim to reach people a little before they run out.
3. Trigger on placed order
Create a flow on the placed order metric. This is the event that starts the clock for every purchase of the product.
4. Split by product
Add a conditional split on items in the order, so each product or collection gets its own wait time and message.
5. Add the delay
Insert a time delay that matches the window for that branch. Longer lasting products get a longer wait than small ones.
6. Send a reminder with a reorder link
Write a short email that names the product, links straight to it and makes reordering one click. A subscription mention suits products with steady usage.
7. Stop the flow when they reorder
Add a flow filter or split so anyone who bought the product again during the delay is removed and does not get a pointless reminder.
Common pitfalls.
- Using one delay for every product, so some reminders arrive far too early or late.
- Reminding people who have already reordered.
- Including items that are not repeat purchases.
- Linking to the homepage instead of the product.
Check it worked.
- Each product branch has its own delay
- Repeat buyers are filtered out
- Reminder links go to the exact product
- Test order enters the correct branch
- All emails are live
Klaviyo changes its interface from time to time, so treat the steps as the order of work and match the names to what you see on screen.
